We have an opportunity at our corporate offices in Chicago for an Associate Project Manager on our Human Resources team.  

As an Associate Project Manager you will provide project management skills that lead to the successful development, enhancement and expansion of HR’s service and support offering. Responsible for planning and coordinating projects across the Human Resources team. Collaborate and align with other AMA units, partners and vendors to ensure implementation of staff-facing initiatives, programs, support and benefits. Align project outcomes to business goals and oversee the project workflow system.

RESPONSIBILITIES:     

Project management 

  • Manage multiple projects and their interdependencies simultaneously, maintain the HR program plan.
  • Define project scopes in conjunction with stakeholders and HR leadership, determine objectives and metrics upon which projects will be evaluated and align outcomes with business goals.
  • Develop plans, timelines, tasks and resource requirements, monitor and control progress, execute required actions, and ensure proper closure and follow-up.
  • Create detailed schedules, properly sequence activities and resources to meet deadlines. Identify, quantify, escalate and resolve issues and risks, ensuring deliverables are on-time, within budget, and meet quality expectations.
  • Create and maintain project documentation and participate and collaborate with strategic sourcing, budgeting, contract initiation, and cross-project resource sharing.

Relationship management

  • Develop and maintain internal and external relationships to enhance HR’s customer service and support offerings.
  • Work with business units, partners and vendors to ensure efforts are well coordinated and integrated.
  • Identify intersections across projects and communicate shared definition and understanding of plan, accountabilities and timelines among stakeholders.

Communication and reporting 

  • Foster clear and timely communication and decision-making.
  • Establish a formal reporting structure to coordinate and monitor progress across all projects.
  • Ensure that projects track toward goals. Monitor and report progress to stakeholders, reporting, status and issues with evaluations and recommendations to support decision-making.
  • Develop and maintain communication standards, SOPs, repositories, documentation, reports, and other artifacts. Serve as communication lead and content developer/editor for AMA Today.
  • Vet changes through the change control process. Evaluate stakeholder satisfaction through initiation of and follow-up for written formal and informal communication.

Requirements

REQUIREMENTS:

  1. BS or BA degree required, discipline in business, health care, computer science or related field preferred. PMP certification preferred.
  2. Minimum 3+ years professional experience in project management, planning and execution or equivalent skills, experience with human resources a plus.
  3. Demonstrated ability to effectively manage and execute multiple, concurrent projects, prioritize work, multi-task across many assignments; ability to handle ambiguity and adapt effectively to changing circumstances; and achieve project deliverables with a strong track record of high quality and on time completion.
  4. Highly organized, efficient and detail oriented; strong analytical and critical thinking skills required. Experience with detailed business analysis, design, data gathering and interfacing with users, including impact analysis, documentation and process flow documentation preferred.
  5. Strong written and verbal communication skills; experience drafting corporate communications.
  6. Polished interpersonal skills and temperament to work collaboratively and cooperatively and build consensus in a matrixed organization.
  7. Demonstrated ability to work in a team environment as well as to work independently as a self-motivated strong individual contributor.
  8. Experience in vendor management, including managing contracts.
  9. Proficiency in Microsoft Office suite of products, and project tracking software (e.g., Jira, Asana).
  10. AMA’s safety and policy protocols require proof of vaccination against COVID19 for employment at AMA.  Employees may apply for a religious or medical exemption from getting the vaccine.
