Job Summary

Assist with project planning, resource allocation and budgets, contracts, progress tracking and reporting, and liaison with institutional partners regarding

these issues as required. Information management, tracking, dissemination, and reporting between projects, staff, and leadership. Track project goals

and work to maintain/drive timelines, participating in efforts towards staff and resources being utilized efficiently and toward achieving goals.

Associate Project Manager

Duties & Responsibilities

Project Planning and Execution

Support project planning activities such as development of plans, project financials, development of Statements of Work (SOWs), and identification of resources and availability.

Work closely with project leadership and staff to both track and drive progress toward ensuring project milestones are met, and that staff effort is aligned with project goals.

Monitor and respond to action items and stakeholder requests to ensure projects are moving forward efficiently.

Serve as a potential resource person for assisting the project define and achieve project goals, methods, and outcomes.

Work with the project lead and other PM resources to determine best practices and establish procedures related to effective business processes for assigned projects.

Project Communications and Reporting

Assist project lead with written or verbal communication of project goals, project status, issues, actions, and risks to internal and external stakeholders.

Serve as a liaison between project staff and other center staff, including those at other institutions, to facilitate the accomplishments of goals, objectives, and milestones for projects.

Prepare and draft project reports/written materials, as well as coordinate project team contributions.

Actively participate in project meetings, conferences, and reviews.

Project Manager

Duties & Responsibilities

Independent Project Management (50%)

Lead project planning activities such as development of plans, project financials, development of SOWs, and identification of resources and availability.

Provide leadership under the project lead’s direction, including delegating tasks, determining project milestones, and setting deadlines.

Implementation and execution of decisions made by the project lead.

Track, analyze, and report on project expenditures against the project budget.

Using independent judgment, assess ongoing and completed work to improve future efficiencies, formulating and recommending changes to project

workflows and management as needed.

Independently prepare and communicate project goals to affected stakeholders.

Serve as a primary contact/resource for staff regarding project goals, methods, and outcomes.

Compile and summarize project information and trends using reports and presentations.

Contribute to/assist with the development of new funding and collaboration opportunities through networking with colleagues internal and external to the

University

Project Management Assistance (50%)

Leadership

Direct and/or indirect supervisory responsibility for Associate Project Manager(s) and/or Project Manager(s).

Guide and assist in the professional development of NCSA Associate Project Managers and Project Managers.

Collaborate with groups within NCSA and/or UIUC to establish and improve policies, processes, and best practices that involve project management principles.

Collaborate with NCSA leaders to understand NCSA business strategy and convey that strategy to other staff within NCSA, including how individual projects align with NCSA’s strategy.

Lead the assessment of ongoing and completed work, across multiple projects, to improve future efficiencies, formulating and recommending changes to project workflows and management as needed.

Project Management Assistance

Minimum Requirements

Associate Project Manager

Bachelor's degree in business administration, management, or a field related to the position. Two years of professional business, financial, and/or managerial work experience in project/program management.

Project Manager

Bachelor's degree in business administration, management, or a field related to the position. Three years of professional business, financial, and/or managerial work experience in project/program management.

Senior Project Manager

Bachelor's degree in business administration, management, or a field related to the position. Five years of professional business, financial, and/or managerial work experience in project/program management. PM Certification or equivalent professional training directly related to the principles and methodologies of project management.

Preferred Qualifications

Advanced degree in business/accounting/finance or in a technical field such as computer science, engineering, or related field. Alternative degree fields may be considered/accepted if accompanied by equivalent experience (depending on nature and depth of experience as it relates to current NCSA projects). 3 or more years of experience in project management/program management in a complex work environment. PMP Certification or willing to go through the PMP certification process, funded by NCSA. PM Certification or equivalent professional training directly related to the principles and methodologies of project management. Professional training and/or certification in Agile software development ITIL Certification

Appointment Information

This is a 100% full-time Civil Service 5010 - Business/Administrative Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after 12/5/2022. Salary is commensurate with experience.
