JOB OVERVIEW

Under direction, the Project Coordinator fulfills a key role in ensuring that projects and programs overseen by the PMO are defined, planned, implemented, and operated successfully, particularly where Department of Information Services resources are required. The Project Coordinator ensures success through detailed and thorough support of projects and programs in accordance with the PMO’s methodology, as well as by serving as a valued resource to the Department of Information Services and other ACGME departments.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Supports small- to medium-sized projects, as defined by the PMO, by creating project plans, schedules, budgets, deliverables, communication plans, risk logs, issues logs, status reports, and performance metrics from concept through the full project lifecycle in the PMO Portfolio.
  • Plans change management tasks required for the organization to accept, adapt, and support initiatives, including effective communication, adequate training, and documentation.
  • Reports project status updates to stakeholders, leadership, including the PMO Leadership Committee, and the Director, PMO.
  • Works closely with the Director, PMO and Senior Project Manager to advance the maturity of the PMO by continuously improving the effectiveness of project management, PMO services, and PMO methodology.
  • Supports creation of templates and editing of policies and procedures, while validating appropriate documentation associated with projects are accurate and complete in accordance with established PMO guidelines; provides support to Information Services and other departments to ensure compliance with PMO policies and procedures for new projects.
  • Recommends resolution and/or escalation of risk/mitigation and event/contingency, including issues that may impact project scope, schedule, or budget.
  • Works with PMO and Information Services leadership to evolve reporting and KPI /CPI metric accuracy for projects in the PMO portfolio.
  • Works with the PMO, project team members, and third-party contractors and/or consultants to identify, document, and adhere to project requirements, financial management, and delivery.
  • Supports PMO resource capacity planning and allocation for projects so expectations are clear, requirements are defined, risks are identified, and appropriate levels of support are provided.
  • Develops and maintains project dashboards and PMO reports to communicate project status, issues, and outcomes, ensuring completeness of the needed data.
  • Provides administrative support through scheduling meetings, capturing minutes, following up on action items and development of presentations.
  • Other duties as assigned.

Requirements

QUALIFICATIONS

Minimum

  • At least a year of prior work experience as a project coordinator.
  • At least a year of recent experience using delivery methodologies and or tools.
  • At least a year of experience managing organizational projects with a significant information technology component.
  • Recent experience in Project (Professional and Web App Online), Visio, Power BI, and Adobe Acrobat.
  • At least a year of experience writing business requirements, creating functional designs, and designing reengineered or automated business processes.
  • Proficiency with Microsoft Office Suite, specifically Excel, PowerPoint, Word, and Outlook, as well as a demonstrated aptitude for learning new specialized software tools.

Preferred

  • Bachelor’s degree in business management, management information services, health, or a related field.
  • Four years of experience in health care.
  • Certified Associate in Project Management (CAPM), Project Management Professional (PMP) certification, or another relevant credible credential.

REQUIRED KNOWLEDGE, SKILL SETS, AND ABILITIES

  • Familiarity with various project management methodologies, including experience in Agile and Waterfall development methodologies, and ability to assess best project management methodology for successful project delivery.
  • Strong professional, interpersonal, customer service, and oral communication skills with all levels of staff and management.

WORK ENVIRONMENT/CONDITIONS

  • This position is based in a typical office environment with no specific or unusual physical or environmental demands.
  • Most of the work performed is normally done in the ACGME office and/or home office with the typical physical demands of an office environment.
