About the Position 

The Project Coordinator will work primarily in support of the executive sponsor & project team who are implementing a new enterprise resource planning (ERP) system within a small, well established governmental agency in Southern California.  This work will fall into two categories of work;  a) the ongoing tracking and reporting related to the ERP project’s active workstreams & tasks and b) separately, under the direction of a program manager, support the status tracking of a portfolio of additional projects that are integral to the success of the ERP project.    

We are looking for someone who has a proven track record of succeeding in different types of organizational cultural environments, is already well versed in standard project management practices (e.g. PMBOK) and is highly organized, detail oriented, and able to adapt to an evolving environment.  Although experience in implementing an ERP project is highly desirable, at a minimum, candidates need experience on a cross-organizational software implementation project.   An ideal candidate will also have a proven track record of having extremely strong verbal and writing skills and ability to manage their time and tasks well; thriving in situations where significant change is necessary – and having the emotional intelligence to assist others through that change.   The individual in this role will need to have the skills to work independently, under pressure, and to handle multiple priorities, activities, and confidential matters with discretion.

Location:  US citizen, western US resident is preferred due to client being in the Pacific time zone.  



The Project Coordinator will work primarily with SingerLewak’s Business Informatics team in support of client project work, reporting indirectly to the project’s executive sponsor through the execution of the following responsibilities.    

  • Keep up-to-date anddetailed project documentation (e.g. WBS, project requirements documentation, as well as standard and ad hoc status reporting) 
  • Support Project Leadership and project team to track the progress of project’s individual tasks; noting and keeping leadership apprised of risks and dependencies 
  • Assist project leadership in tracking project budgets and expenses; keeping project leadership aware ofproject's budget alignment and risks; documenting contingencies when requested 
  • Document and escalate (through project leadership) roadblocks and/or known risks 
  • Monitor the execution of each stage of the project 
  • Under the direction of project leadership; organize meetings and ensure pre-and post-meeting materials are prepared and distributed on a timely basis.  
  • Other project management type tasks and deliverables; as directed 

 Desired Qualifications: 

  • Bachelor’s Degree desired, preferable in a technical or business discipline. 
  • A minimum of 5 years of experience working in an office / professional environment 
  • A minimum of 2 years of experience on a project team (ideally as a project administrator or coordinator) 
  • A Project Management Professional (PMP) certification is preferred, but not required 
  • High proficiency in standard software related to project management (e.g. Office 365, project / task management software like Smartsheet.com.  Visio a plus)
  • Experience in assisting or participating in technology complex, cross organizational project implementations, ideally ERP 
  • Experience working within an organization that provides a utility / commodity service is an advantage 
  • Demonstrated ability to work in well established, smaller organizations; interacting quickly and skillfully with different internal and external constituencies in order to achieve goals and complete project objectives. 
  • Strong organizational skills, ability to perform and prioritize multiple, constantly changing tasks concurrently with excellent attention to detail. 
  • Proactive, solution-oriented approach to collaborations for successful conclusions. 
  • Excellent interpersonal, written and verbal communication skills in English is a must.  
  • Proven ability to handle confidential information with discretion. 
  • A passion for conservation / responsible guardianship of our natural resources is greatly welcomed
