General Summary:
The Southern Research Project Management Office (SR PMO) is a specialized department responsible for the centralized, coordinated management of projects and activities conducted by various departments within SR’s Drug Development Division (DDV). The PMO supports the division’s business strategy by handling administrative duties, including scheduling, reporting, and budget monitoring, as well as coordination, communication, resource management, and process improvement; it is not the intent for project managers (PMs) to be directly involved in conducting research- and/or science-related matters. While the PMO does not conduct scientific research, the team facilitates each client’s experience by teaming up with SR’s scientific and technical staff to provide transparency at every project stage. PMs require limited supervision of their day-to-day tasks.
 
Key Responsibilities:
  • Work closely, communicate, and meet with Study Director (SDs) and/or Subject Matter Experts (SMEs) from project setup to project closure; he or she will facilitate regular discussions about project status, issues that may have an impact on the schedule, and financial matters.
  • Possess a complete understanding of contractual and financial commitments related to assigned projects; he or she will be knowledgeable about project scope, deliverable dates, billing, milestones, invoicing, and terms.
  • Provide customer service to both internal and external customers promptly and properly on assigned projects; he or she will be attuned to customer needs and expectations.
  • Enhance the customer experience through timely, thorough, customer-focused communications, as well as by providing finance-related information; he or she will display an understanding of when customer communication should be delivered by the SME or management and provide regular updates about the status of tasks, accomplishments, and challenges.
  • Assist with project scheduling and prioritizing projects; he or she will be adept at using Microsoft Project to create Gantt charts, as well as demonstrate expertise with other scheduling tools and methods.
  • Attend and/or participate in meetings and/or teleconferences in support of assigned projects.
  • Ensure prompt resolution and communication of issues associated with assigned projects; he or she will working with the SD and/or SME to resolve such issues.
  • Alert management of project overruns, missed deadlines, and any challenges that could have an impact on timelines and deliverable quality.
  • Proactively monitor projects against time (science) and funds (financial) available or spent (percentage sent versus percentage of completion relative to budget) for detection of possible overruns.
  • Exercise financial acumen related to project budget, revenue, milestones, and invoicing; he or she will coordinate with the assigned accounting representative.
  • Ensure that forecasting, revenue, milestone payments, and invoicing are completed in a timely manner for processing.
  • Assist with the preparation of technical client site visits.
  • Identify and document areas for process improvement within the department.
  • Perform other duties as assigned by the PMO manager.
 

Requirements

Requirements/Minimum Qualifications:
  • Bachelor’s degree in a business or scientific field, with at least five years of related experience.
  • Prior demonstration of ability to successfully manage multiple standalone projects or parts of larger projects.
  • Must have earned Project Management Professional (PMP) certification.
  • Knowledge of software applications, particularly those that run on the Microsoft (MS) Windows operating system, including Word, Access, Excel, and other programs; expert knowledge of MS Project is a plus.
  • Effective verbal and written communication skills; must be able to communicate difficult information with high level of decorum and tactfulness.
  • Highly detail oriented with good planning, organization, task-efficiency, and time-management skills.
  • Understand the importance of providing high-quality customer service to both internal and external customers.
  • Must possess a general knowledge of Project Management principles.
  • Must be eligible to work in the U.S. without employer sponsorship.
