Opening:

The Yetter Tax and Sales Tax Institute organization is looking for a talented Project Manager (PM) with a track record of delivering results in a fast-paced dynamic environment. Reporting to the President, this role will enable you to be in the middle of the action delivering projects for our varied client population, project managing our education programs and products as well as partnering with our staff to facilitate internal communication, foster effective collaboration, and support the management team in communicating with external stakeholders.

Purpose of Role

The purpose of this role is to provide project management leadership and support for Yetter Tax’s Client Projects, Sales Tax Institute’s classes and products and internal initiatives. The role is accountable for ensuring each project and change initiative has adequate levels of governance (planning, budgeting, reporting, tracking and risk management). Priorities are agreed to and in alignment with the President, Sr. Tax Manager, Staff Consultant Team, Customer Engagement Specialist, and their clients.

 

Essential Job Functions and Responsibilities

Project Plan/Tracking/Process

  • Maintain an integrated project plan of all projects, critical milestones, delivery dates, and project interdependencies; Update project plan and resource forecast (Schedule) on a regular cadence.
  • Monitor all internal projects (marketing, Sales Tax Institute, administrative)
  • Manage both external client-facing projects (75%) and internal projects (25%)
  • Monitor project progress and provide status reporting regarding project milestones, deliverables, dependencies, risks, and issues to the President and the team.
  • Assist President with responses to opportunities and preparation of proposals
  • Proactively anticipate risks, opportunities, dependencies and costs, plan resources, milestones, and deliverables to implement projects; Provide recommendations to address challenges, risks, and issues; Maintain a risks and issues log
  • Develop and maintain project status and reporting tools including the definition of KPIs to measure success of projects and initiatives.
  • Maintain project budget throughout the project lifecycle and effective change control
  • Meet or exceed quarterly project management KPI targets

Project Leadership/Communications

  • Build strong stakeholder relationships to influence and drive change across the business
  • Lead project meetings including kick-offs, status, and retrospectives
  • Provide clear and regular communication to stakeholders/team to ensure alignment, visibility, and transparency on status, milestones, risks, and issues.
  • Ensure project team and client have clarity on scope, schedule, and change process
  • Collaborate with Staff Consultant Team and Customer Experience Specialist to ensure client expectations are set
  • Act as the project delivery escalation point for team and clients

 Project Team Accountability

  • Create accountability among project team members to drive on-time and on-budget delivery of project deliverables while providing options for project risks and issues, when/if they arise
  • Guide the team through the successful completion of project tasks and deliverables, while analyzing and prioritizing key dependencies.
  • Inspire, coach, and mentor project team toward successful outcomes

 Project Administrations/Procedures/Best Practices

  • Establish practices, templates, policies, and tools to expand and mature PM capabilities for the team.
  • Ensure completion of required project documentation and adherence to policies and procedures.
  • Creative problem solving with how our company uses Wrike; reimagining how we conceive of and track projects

Travel:

  • Quarterly team gatherings in Chicago or other location

Requirements

Required Qualifications/Skills/Attributes

Education

  • BS or BA degree in Business-related major
  • Project Management Professional (PMP) certification (or qualified to get certified in the next 6 months)

Project Management

  • 3-5 years’ experience as a project manager
  • Wrike System Super User (or similar)
  • Ability to scope, budget, and quality check projects
  • Ability to effectively manage and track a large number of active projects (50+)
  • Ability to lead the delivery of small to medium complexity and multi-faceted projects
  • Strong change management skills; embraces and leads change effectively
  • Ability to effectively manage external partners
  • Able to balance competing priorities to achieve deadlines
  • Project and change management experience from a business (rather than IT) perspective

Other

  • Exceptional interpersonal and communication skills
  • Ability to negotiate, persuade and influence both directly and indirectly
  • Strong team and client leadership skills, ability to be assertive when required
  • Possess a proactive, self-starter approach with a continuous improvement mindset
  • Strong numerical, written, and oral presentation and facilitation skills
  • Strong reasoning capabilities – creative and lateral thinking, with strong problem-solving-skills
