TITLE: Senior Manager, ERP Project and Change Management

REPORTING TO: Vice President, Corporate Finance & Administration

LOCATION: Our preference is for the individual in this role to be based in the New York Metropolitan area, but at present, the majority of our US based staff will continue to work remotely (with ad hoc visits to the office as needed), through at least the end of 2022

POSITION SUMMARY: To support the Council’s mission, the Corporate Finance & Administration (CF&A) Division, led by the Vice President of CF&A/CFO, has the role of enabling sound, well-informed financial, administrative, and human resource management decision making, efficient execution and the delivery of maximum value from donor funds. To better drive the Council’s continuing success, the organization needs to be equipped with the necessary processes, tools, training, and reporting to fulfill its role as the financial steward and partner to the Board and senior management. Underpinning this role is the need for an integrated ERP platform that provides timely, accurate and meaningful insight to all stakeholders. The Council’s legacy solution, Serenic, needs to be replaced, and it is critical that the new solution supports these objectives. The Senior Manager, ERP Project and Change Management is responsible for overseeing the design and implementation of the new ERP platform and with it, the transformation of Council business policies and processes to align with the system’s workflows and best practice. This position has 3 identifiable success metrics: successful delivery of the defined vision and objectives; ensuring executive support and buy-in; and being a steward of organizational change management.

 

RESPONSIBILITIES: 

 

Project Management

1. Lead with autonomy the ERP Transformation Program to meet the needs of the business, including ensuring standardization of business processes and cross-functional integration

2. Lead cross-functional project teams by prioritizing and coordinating all aspects of project execution

3. Manage complex business issues arising from the implementation of new processes or functions

4. Perform all standard PMI PMBOK project management activities including project scope, schedule, budget, resources, risk mitigation planning, and procurement. 

  • Implement project initiation activities including definition of project scope and objectives, formation of project teams, development of high-level requirements and solution architecture in coordination with the Project Steering Committee
  • Control project scope and develop and track detailed project plans including activities, milestones, issues and risks, actual versus planned schedule, and quality metrics
  • Own project issue resolution and risk management
  • Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, progress, and overall project health
  • Coordinate and track the activities of the project team, including implementation vendors, architects, business analysts, technical staff, and business stakeholders

5. Lead weekly status meetings with project team to communicate work plan, track actual performance against plans and budget, analyze variances, and identify issues and risks to ensure all customer needs are met while maintaining control of the project.

6. Develop weekly status reports and modify schedules as required following defined change process.

7. Manage integration of solution(s) into enterprise technical architecture and business environment

8. Oversee deliverable creation and quality, including review of other Project Manager’s and the ERP Project Team’s work. 

9. Lead the business stakeholder community through influence and empowerment including mentoring and coaching others to develop project management competencies.

 

Change Management

1. Lead business change management activities, integrating the voice of the customer in the change management plans

2. Build buy-in from key business stakeholders on project blueprint and transformation changes

3. Manage project change agenda (scope) and adherence to vision and guiding principles, enforce strong project change management process

4. Lead project communication plan

 

QUALIFICATIONS:

1. Minimum of 5-7 years of complex Project Management experience with fluency in methodologies, tools and techniques (SDLC and Agile/Scrum/Waterfall) required 

2. Minimum of 10-12 years of IT and/or business/ finance work 

3. Minimum 5 years’ experience with business application & system development life cycle management

4. Project Management Professional (PMP) certification required 

5. Experience with successful ERP transformation programs involving leading ERP software systems

6. Significant working knowledge of applications being implemented

7. Proven track record of delivering complex projects on time and within budget

8. Demonstrated leadership and management experience with significant process/system changes; staff development skills, effective in matrix management and team building, including experience in leading multinational and intercultural teams

9. Good understanding of Lead-to-Cash, Source-to-Pay, Travel-to-Expense and Record-to-Report processes

10. Expert knowledge of Microsoft applications; specifically, Microsoft Project 13 and/or MS Project Online 

11. Strong financial planning and management experience with high degree of accuracy and specific attention to mathematical detail; able to work on multiple projects/tasks with overlapping schedules and priorities

12. Excellent written, oral, and listening skills; strong customer service, and proven ability to present programs to scientific and non-scientific stakeholders

13. Strategic thinker and self-motivated problem solver

14. Strong interpersonal skills; the ability to influence without authority; the ability to work independently and collaboratively within cross-functional team environments as well as with colleagues from a wide range of disciplines, countries and cultures 

15. Experienced in facilitation, negotiation, and decision making to influence management as well as internal and external partners

16. Willingness to travel both within the United States and internationally preferred

17. Ability to identify necessary changes, obtain stakeholder buy-in and implement changes as needed

18. Ability to analyze, understand and effectively communicate between business requirements and technical design and implementation

 

SALARY AND BENEFITS: Salary range between $125,000-$160,000 annually, depending on knowledge, skills and experience. Excellent benefits package includes medical, dental, vision and life insurance available immediately upon hire; 403(b) retirement plan with employer contribution equal to 12% of annual salary after one year of employment; generous annual and sick leave; and paid parental leave.
