Service Coordinator

1. Manages incoming Customer calls including Service dispatching, tracking, and scheduling of site visits. Modifies call changes and tracks status. Creates and modifies new Customer profiles. Provides solutions for all general inquiries as required.
2. Creates and dispatches work orders in iCare as required for scheduling of planned maintenance inspections and Service requests.
3. Attends weekly planning sessions. Conducts weekly Service data reconciliation and performs weekly timesheet validation.
4. Monitors subcontractor pricing. Processes and approves invoicing.
5. Monitors the timeliness of Technicians in accordance with company safety policy and advises Supervisors of any missing/late Technicians.
6. Accurately and promptly enters and processes work order purchase orders into system.
7. Maintains and develops Customer Service best practices to increase Customer Service efficiency.
8. Procures parts \u0026 materials for Service work orders.
9. Provides Service Quotes to Customers with the assistance of the Service Supervisor.
10. Ensures timely communication with contract Customers, preferred Customers, and subcontractors. Meets monthly to discuss expiring Service Contracts and reviews upcoming preventative maintenance inspection needs.
11. Maintains and develops a Customer experience procedure. Provides senior management with appropriate feedback. Assists with Customer satisfaction surveys.
12. Accurately administers Customer profile maintenance by adding new sites, special notes and modifying existing Customer sites.
13. Provides Specialists with badging and access to Customer sites. Ensures the Specialists have completed all Customer specific training. Maintains and develops logbook for badging access and training.
14. Provides administrative overflow support as and where required. This includes photocopying, filing, and typing general correspondence.
15. Display professionalism that aligns with being our Customer\u0027s best Service provider at all times.
16. Performs other duties and responsibilities as requested or required.

Desired skills:
- Exceptional telephone and personal Customer Service skills and ability to work under pressure.
- Excellent Microsoft Office skills: Outlook, Excel, and Word.
- Basic financial knowledge and skills. Ability to understand basic financials such as accounts receivable/payable, purchase orders, and work orders.
- Solid organizational skills and the ability to multitask.
- Excellent attention to detail.
- Strong verbal, written and interpersonal communication skills.
- Strong flexibility to adapt to changing priorities and direction in a dynamic work environment.
- Display of self-initiative providing solutions. Regularly engages in proactive behavior and looks for opportunities to increase efficiency.
- Strong ability to facilitate a collaborative working environment for Customers and Colleagues.
