SUMMARY: Oversees innovation and change by implementing approaches, methods, products, and processes that enhance competitiveness and improve organizational efficiencies. Proactively leads the organization in executing strategic initiatives while fostering a culture of continuous improvement. Provides oversight along with strategic and tactical leadership for program management, project management, continuous innovation as well as driving efficient and effective processes to evolve operations. Builds strong and productive relationships with all business leaders, ensuring that Enterprise Technology is positioned as a business enabler and trusted partner. Guides the management team to define the Enterprise Strategic Portfolio project roadmap and ensures alignment with overall strategy, business, and technology. Establishes and maintains a formal governance, methodology and framework for change across the Credit Union. Leads team members to research and explore innovative ways to transform the business through technology. Accountable for the enterprise innovation program capabilities and execution. Accountable for the transition, integration, and conversion efforts to align business applications to the Credit Union’s day-to-day operations and Strategic Plan. Accountable for ensuring that the overall Credit Union delivery of Innovation and the Enterprise Strategic Portfolio projects are within budget, business outcome-driven, agile, and leverage enterprise change management practices to ensure sustainable success. Accountable for ensuring recognized industry standards drive governance, methodologies, frameworks, standard processes, practices, and templates are defined and followed across both support and project teams. Has management responsibility for team of Portfolio Manager(s), Project Managers, Business, Project, and Quality Analysts. In-person work will fluctuate with demand. At times, work may require in-person presence.
The Vice President Program Management & Business Process Improvement reports to the SVP Enterprise Technology and has direct management duties of multiple team members.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential duties and responsibilities of this position include the following.  Other duties may be assigned.  (Remote Capable Yes/No/Partial) 

Business Relationship Management – (Partial)

  • Work collaboratively across the organization, sharing knowledge and building trust, demonstrating leadership through effective mentoring, and team building. Share information, perspective, and expertise.

  • Coordinate and lead continuous review on all enterprise operations to determine areas of improvement and enhance the innovative potential of the business.
  • Work with all staff and Business Units to better understand technologies available and implement new technology as needed to improve staff and member experience and productivity.
  • Collaborate with leaders and stakeholders from the business units to ensure proper coordination and execution of activities related to the delivery of innovation and change.
  • Engage with and conduct portfolio reviews with senior management and stakeholders to validate and assess project portfolio, execute change, and reprioritize to meet business needs as required.
  • Influence and guide executives to align strategy, business, and technology planning to evolve the innovation and change capabilities across the organization.
  • Produce and deliver engaging and impactful presentations to Board and executives describing value, cost, performance, risk and controls, capabilities, and impact to prior or future plans.
  • Aid business leaders in their visioning, planning, and budgeting efforts to ensure appropriate incorporation of existing and new business plans.
  • Oversee the satisfactory implementation, support, and transition of strategic business initiatives and ensures that the credit union is operating as efficiently as possible during and after change or implementation.
  • Strike the right balance between efficiency and flexibility to improve processes, reallocate assets and drive efficiencies in the pursuit of better performance.
  • Serve as the point of escalation for stakeholders or requestors with issues, resolves conflicts involving scheduling, resources, or technical issues.
  • Build strong and productive relationships with all staff, ensuring that Enterprise Technology is positioned as a business enabler and trusted partner.
  • Work with other leaders to establish agreed upon change definitions and timelines. 

Solutions Strategy – (Yes)

  • Influence organizational strategic planning; creates strategies and roadmaps and guides portfolio management to deliver on all plans.
  • Monitor organizational performance and deficiencies and develops strategies to deliver corrective change.
  • Guide the alignment of strategy, business, and technology to ensure a holistic enterprise architecture is business outcome-driven.
  • Guide steering committees related to enterprise strategic portfolio projects and innovation.
  • Identify, strategize, develop, and drive transformative initiatives and champion the role of innovation by aligning business strategy with innovative thinking.
  • Expand the organization’s long-term innovative and change capabilities by developing, strategizing, and planning new interventions that will drive innovation.
  • Guide Business Unit planning, departmental plans, and individual contributor development plans and performance goals.
  • Guide capacity and budget planning for enterprise strategic projects.
  • Guide talent leadership development focus for career advancement and succession planning.

Solutions Development – (Yes)

  • Develop efficient and repeatable processes to execute mergers or acquisitions.
  • Develop efficient and repeatable processes to administer, monitor and support enterprise strategic project delivery.
  • Develop efficient and repeatable processes to administer and support the innovation program.
  • Develop efficient and repeatable processes to lead the transition of new technology solutions from design to development to delivery to support and advance the Credit Union’s day-to-day operations and Strategic Plan.
  • Develop capabilities to ensures all enterprise strategic project efforts are prioritized and successfully executed to advance the Strategic Plan.
  • Develop and ensures resource capacity balance between daily operations and enterprise strategic project execution.

Solutions Delivery – (Yes)

  • Deliver simple, secure, and reliable project and change execution across the enterprise.
  • Deliver selected large, complex projects with multiple interdependencies, achieving financial and operational objectives with compressed timelines.
  • Deliver clear alignment to strategic organizational priorities.
  • Deliver processes to eliminate complexity and ambiguity in projects to ensure clarity and establish goals and expectations for engagement.
  • Deliver matrix leadership to resources in support of the project plans in each Line of Business.
  • Deliver implementation and integration of new technology systems or integrations.
  • Deliver successful conversion and integrations related to mergers and acquisitions.
  • Deliver automation and the continual evolution of digital business processes.

Solutions Management – (Yes)

  • Ensure the establishment of the project portfolio definition, its structure, and processes, from demand management and strategic alignment of projects to portfolio categories and criteria, through evaluation, selection and prioritization; to execution, tracking and measuring the achieved results.
  • Ensure the development of repeatable and scalable plans and processes to speed implementation completion and improve execution, quality, and efficiency.
  • Manage and align available resources, processes, and technologies to meet safety and soundness, operational levels, service levels, and delivery of enterprise strategic project execution.
  • Ensure team members are provided and educated on effective standards and practices, processes, and procedures.
  • Ensure performance against goals is routinely analyzed and adjusted to evolve the organization.
  • Ensure continuous feedback loops exist to align with ever changing business needs and requirements.
  • Ensure knowledge transfer exists throughout enterprise technology.
  • Ensure project revenue and expense align to budget. 

Supplier Relationship Management – (Partial)

  • Build strong and productive relationships with strategic partners, ensuring that the organization is positioned for success.
  • Seek out, evaluate, and continually engage with strategic partnerships to evolve the organizational capabilities.
  • Continually evaluate vendors; make decisions to change vendors or make recommendations, as needed across Lines of Business.
  • Align strategic partner resources to fill internal resource and/or knowledge gaps allowing capabilities to scale with the growth of the organization.
  • Manage contract negotiations and ensure timely renewals.
  • Manage vendor delivery of products, services, and resources; work with vendors on solutions when performance is outside of agreed upon levels.
  • Research and propose investment opportunities for the organization.  Travel may be required.
  • Oversee invoicing and account handling.
  • Serve as vendor contact for coordination and escalation. 

SUPERVISORY RESPONSIBILITIES

  • Lead by example.
  • Foster an environment of empowerment, openness, inclusion, and objectivity.
  • Direct and manage team resources to ensure delivery of all day-to-day activities, achieve safety and soundness, deliver change, and react to incidents.
  • Mentor and guide team members on best practices, ethics and professional conduct, and approaches to drive high performing teams.
  • Recruit and develop strong change-driven professionals.
  • Work with leaders to establish development plans, career paths, succession plans, and performance goals and objectives consistent with the organization’s strategy.
  • Work with team to practice a consultative mindset and a methodical approach to operational or technical challenges in the delivery of service and constant change.
  • Assist direct reports in identifying areas for development. Work to ensure that direct reports have adequate soft skills, technical skills and abilities and facilitate developmental opportunities, such as workshops, seminars, etc. to meet current and anticipated needs.
  • Coach, encourage, support, and train staff to deliver white glove service.
  • Ensure team members understand and adhere to standards and practices, processes, and procedures.
  • Manage team resources to continuously focus on improvement.
  • Manage employee activities for: salary increases, promotions, moves, disciplinary actions, hires and terminations.
  • Assess group dynamics and work product to provide constructive feedback to optimize delivery.
  • Assess capacity and skill needs and inform management of gaps.
  • Conduct regular coaching sessions, huddles, team meetings and quarterly performance reviews.

Requirements

EDUCATIONAL AND WORK EXPERIENCE REQUIREMENTS

  • Minimum 5 years’ experience in management position developing teams
  • Bachelor’s degree in strategy, leadership, business, or management. Master’s Degree is preferred.
  • 5+ years’ experience in portfolio and project management experience working across both technical and business focused projects in the banking/financial services industry.
  • 8-12 years’ experience in IT, technology, business, marketing, or finance-related fields.
  • Project Management Certification (PMP) or BPMP required.
  • Portfolio Management Professional (PfMP) is preferred.
  • Knowledge of Agile, Scrum, and Lean Six Sigma fundamentals is preferred.
  • PMI Agile Certified Practitioner (PMI-ACP) is preferred.

  • Working knowledge of Microsoft Outlook, Word, Excel, and PowerPoint. Proficiency with commonly used program technology systems such as Smartsheet, Microsoft Project, Celoxis, Saviom, Hive, Clarity, Primavera, etc.
  • Proven proficiency and in-depth knowledge of financial, staff, and business technology systems and applications as implemented. 

PHYSICAL REQUIREMENTS:
